Practice Policies x Procedures

This page outlines the general policies and procedures for Theralynx. Our goal is to ensure clarity, transparency, and mutual understanding so clients know what to expect from services.

Scope of Services

Theralynx provides outpatient mental health services, including individual counseling, family therapy, group facilitation, therapeutic gaming, assessments, telehealth counseling, and in-home therapy when clinically appropriate.

Services are provided by licensed clinicians or residents under clinical supervision and are intended to support emotional health, insight, and skill development. Theralynx does not provide emergency, crisis, or inpatient services.

Appointments & Scheduling

Sessions are scheduled in advance and typically last approximately 50 minutes unless otherwise specified.

Clients are encouraged to attend sessions consistently and to arrive on time. For telehealth sessions, clients should log in from a private, distraction-reduced environment. For in-home therapy, clients are expected to prepare an appropriate private space as discussed with their clinician.

Cancellation & No-Show Policy

If you need to cancel or reschedule an appointment, advance notice is required. Specific notice requirements and any applicable fees will be communicated during intake and outlined in your consent forms.

Missed appointments and late cancellations may be subject to a fee, as reserved time cannot typically be reallocated on short notice.

Fees & Payment

Theralynx currently accepts Sentara, Aetna, and Optum. Other plans are billed as private-pay unless otherwise specified.

Fees vary by service type and clinician and are communicated prior to the start of services. Payment is due at the time of service unless alternative arrangements have been made in advance.

In-home therapy is self-pay only, is not covered by insurance, and includes an additional fee on top of the regular session fee.

Clients may request documentation for out-of-network reimbursement if applicable.

Insurance

Theralynx currently accepts Sentara, Aetna, and Optum. Coverage, deductibles, and copays vary by plan. Theralynx does not guarantee insurance reimbursement. Clients are responsible for understanding their insurance benefits, including coverage, deductibles, and out-of-network policies.

In-home therapy is not billed to insurance. It is self-pay only and includes an additional fee on top of the regular session fee.

If your plan is not listed, you can still begin as a private-pay client. We are happy to provide invoices or documentation required by insurance companies upon request.

Telehealth Policy

Telehealth services are provided through HIPAA-compliant platforms and are subject to the same confidentiality, ethical, and clinical standards as in-person therapy.

Clients must be physically located in the state of Virginia at the time of telehealth sessions. Telehealth services may not be appropriate for all clinical situations, and alternative options may be discussed if needed.

In-Home Therapy Policy

In-home therapy is offered when clinically appropriate and based on location, safety, and logistical considerations.

In-home therapy is self-pay only, is not covered by insurance, and includes an additional fee on top of the regular session fee.

Prior to beginning in-home therapy, expectations related to privacy, boundaries, safety, and the therapeutic environment are reviewed. Theralynx reserves the right to modify or discontinue in-home services if circumstances change or if the setting becomes inappropriate for care.

Confidentiality & Privacy

Client confidentiality is protected in accordance with state and federal laws, including HIPAA. Information shared in therapy is confidential except in circumstances required by law, such as:

  • Risk of harm to self or others
  • Abuse or neglect of a child, elder, or vulnerable adult
  • Court orders or legal requirements

These limits to confidentiality are reviewed in detail during the informed consent process.

Communication Between Sessions

Non-urgent communication may occur through secure messaging or email as outlined during intake. These channels are not monitored continuously and should not be used for emergencies.

Therapists may set boundaries around response times and appropriate use of between-session communication.

Crisis & Emergency Policy

Theralynx does not provide crisis or emergency services.

If you are experiencing a mental health emergency, please call 911, go to your nearest emergency room, or contact the 988 Suicide & Crisis Lifeline.

Client Responsibilities

Clients are expected to participate actively in the therapeutic process, communicate openly with their clinician, and follow agreed-upon policies related to scheduling, payment, and conduct.

Therapy is a collaborative process, and progress depends on mutual engagement and respect.

Changes to Policies

Theralynx reserves the right to update practice policies as needed. Clients will be notified of any significant changes that affect their care.
